WhatsApp broadcast to hundreds of customers: send a promo from a template in Konektor (Indonesian narration) • 1:10
Tonton di YouTubeWhatsApp Broadcast
A broadcast sends one approved template to many contacts at the same time. You choose the number, the template, and the contacts. Konektor counts who gets the message, sends it at a steady pace, and shows a report of the result.
A broadcast sends messages to real customers. For this reason, Konektor sends nothing before you check the preview and confirm the contact count.
Requirements
Make sure that all of these are true:
- Your role in the workspace is owner or admin.
- You use an official number (Official WhatsApp Business) or an active Kapso or Kirimdev partner number. A QR number cannot send a broadcast, because WhatsApp can block a QR number that sends bulk messages.
- The number has an approved message template. You cannot use an Authentication template in a broadcast.
- Your plan has recipient quota left this month. Read Monthly recipient limit.
Create a broadcast
- Open Conversations > Broadcast.
- Click Create broadcast.
- Follow the six steps below. Click Next to go to the next step. Click Back to change an earlier step.
| Step | What you do |
|---|---|
| Name | Fill in Broadcast name. Only your team sees this name. |
| Number | Choose the sending number. The page shows the type of each number and its sending speed. |
| Template | Choose an approved template, then fill in each variable. |
| Contacts | Choose a contact source: Inbox, Leads, or CSV file. Set Skip contacts that got a broadcast recently. |
| Schedule | Choose Start now or Choose a time, then set the Quiet hours. |
| Preview | Check the contact count, the estimated cost, and the quota left. Then click Schedule. |
Konektor saves the broadcast as a draft when a step needs it, for example when you upload a CSV file or open Preview. A draft that you leave shows in the list. Click Continue to open it again. Click Cancel to stop it.
Template variables
Each variable in the template has a field named Value for. Fill it with fixed text, or insert the contact name.
- Write
{{nama}}in the field, or click Insert contact name. Konektor replaces{{nama}}with the name of each contact. - When a contact has no name, Konektor uses Text for a contact with no name. The default is "Hi".
- The box above the fields shows a sample message for a contact named Sam.
Example: the template says Hello {{1}}, the {{2}} discount ends on Friday. Fill variable 1 with {{nama}} and variable 2 with 20%.
Templates with pictures or cards
A template with an image, video, or document header uses the template file. Click Change picture (or Change video, or Change document) to choose another file. Click Use the template picture to go back to the template file.
For a carousel template, the Template step shows one section for each card:
- The Value for fields on each card take fixed text or
{{nama}}, the same as the message variables. - End of the button link uses the same text for all contacts. You cannot insert the contact name in a link.
- Each card uses the template picture, unless you click Change picture on that card.
One set of pictures applies to the whole broadcast. All contacts get the same pictures. When a part has no file, the Next button is off and the reason shows next to it: "Choose a picture for each part that is still empty."
Three contact sources
| Source | Choices |
|---|---|
| Inbox | Contacts that wrote to the sending number. Leave Numbers empty to use the sending number only. Choose one number or more in Numbers to use the contacts of those numbers. Contacts of a QR number never join a broadcast. You can also choose Labels, or limit the list with Last incoming message from and Last incoming message until. |
| Leads | Leads that have a WhatsApp number. Choose Lead status and Tags, or limit the list with Lead created from and Lead created until. |
| CSV file | A contact list from your own file. The format and the limits are below. |
CSV file format
- The first column holds
phone. The second column holdsnameand can be empty. - A header line is optional. Konektor knows headers such as
phone, telepon, nomor, name, andnama. - The column separator can be a comma or a semicolon.
- A file can have 50,000 lines at most and can be 5 MB at most. Split a larger file into several files.
- Your browser reads the file and sends the contacts to Konektor in parts. The page shows the upload progress.
When the upload ends, the page shows Accepted, Not valid, and Duplicates. You can add more files. The same number counts one time.
Contacts that Konektor skips
Konektor removes these contacts before it sends. These contacts do not use your quota.
| Skipped contact | Explanation |
|---|---|
| Opted out | The contact replied with a stop word, or your team marked the contact. See the next section. |
| Number not valid | The number is not a valid WhatsApp number. |
| Duplicate numbers | The same number shows more than one time. |
| No number | The contact has no phone number. |
| Got a broadcast recently | The contact got a broadcast from your workspace in the last days. The default is 7 days. Enter a number from 0 to 30 in Skip contacts that got a broadcast recently. Enter 0 to turn this rule off. |
The Preview step shows the contact count for each reason in Skipped automatically.
Stop words
A contact stops getting broadcasts when the contact replies to your message with one of these words:
STOPBERHENTIUNSUBSCRIBESTOP PROMO
The incoming message must hold only that word. Capital letters and small letters both work, and a mark of punctuation at the end does not matter: STOP. and stop! count. A message such as "please do not stop yet" does not count.
A contact gets broadcasts again when the contact replies START or MULAI.
An owner or an admin can also mark a contact by hand:
- Open the conversation in the Inbox.
- In the contact panel, turn on Do not send broadcasts to this contact.
- Turn the same switch off to allow broadcasts again.
The switch shows only when the conversation has a phone number. Other members see the switch but cannot change it.
You turn off only a mark that your team made. When the contact stopped by their own reply, the switch stays on. The contact must reply START or MULAI to get broadcasts again.
The switch does not stop your team from sending messages one by one from the Inbox.
Quiet hours
Konektor sends no message during the quiet hours. The default is 21:00 to 08:00 in the time zone of the workspace. Change the quiet hours in the Schedule step, or turn them off.
The remaining messages wait until the quiet hours end. No message is lost. When the start time is inside the quiet hours, the Schedule and Preview steps show the real start time.
Sending speed
Konektor sends messages at a steady pace to keep your number safe.
| Number type | Speed |
|---|---|
| Official number | 60 messages a minute |
| Partner number (Kapso or Kirimdev) | 30 messages a minute |
Preview shows the Estimated sending time. The estimate does not include the quiet hours.
Monthly recipient limit
Your plan sets how many recipients you can reach in one calendar month. The calendar month follows the time zone of the workspace.
| Plan | Recipients each month |
|---|---|
| Trial | 100 |
| Starter | 1,000 |
| Pro | 10,000 |
| Enterprise and custom plans | 50,000 |
One broadcast holds 50,000 contacts at most, on any plan. A scheduled broadcast holds some of the quota until its messages leave.
A workspace can have three active broadcasts at the same time. A broadcast is active when it is scheduled, running, or paused. To schedule a fourth broadcast, wait for one to end or cancel one.
When your subscription is not active, you cannot check a preview or schedule a broadcast, and a running broadcast pauses. Renew the subscription, then click Continue.
When the quota for the month ends in the middle of a broadcast, the contacts that did not get a message are skipped and the broadcast ends. Messages that are on their way still leave.
The broadcast list and the Preview step show the quota left this month. When the contact count is more than the quota left, the Schedule button is off and the preview gives the reason. Reduce the contact count, or choose a larger plan.
Estimated cost
For an official number, Preview shows the Estimated cost. Konektor multiplies the number of contacts that get the message by the estimated price of one message.
| Template category | Estimated price for each message |
|---|---|
| Marketing | Rp586 |
| Utility | Rp357 |
These numbers are estimates, not a bill. Meta sets the prices and can change them. For a partner number, Konektor shows the message count only. The partner bills the sending cost.
Schedule the broadcast
- In the Preview step, check the numbers.
- Click Schedule.
- Read the contact count in the dialog, then click the confirm button. It reads Yes, schedule for and the contact count.
When the setup or the contacts change after the preview, the page shows "The preview is no longer valid". Click Check preview again, then schedule again.
Follow the broadcast
Open Conversations > Broadcast, then click a line to open its details. The page reloads by itself while the broadcast status is Scheduled, Preparing, or Sending. Click Refresh to reload the report at any time.
| Status | Meaning |
|---|---|
| Draft | You did not schedule the broadcast. |
| Scheduled | The broadcast waits for its start time. |
| Preparing | Konektor builds the contact list. |
| Sending | Messages leave at a steady pace. |
| Paused | The sending stopped. You paused it, or Konektor stopped it because of a problem. |
| Completed | Konektor processed all contacts. |
| Cancelled | You cancelled the broadcast. |
| Failed | Konektor could not build the contact list. Create a new broadcast. |
Pause, continue, and cancel
- Click Pause to stop the sending for now. This button works after the sending starts. The remaining contacts wait.
- Click Continue to resume a paused broadcast.
- Click Cancel, then confirm in the dialog. Contacts that still wait get no message. Messages that already left stay sent. You cannot undo a cancel.
Konektor pauses a broadcast by itself when a problem needs your action, for example when a template is no longer approved, a number cannot send, your subscription is not active, or WhatsApp does not accept many messages in a row. The detail page gives the cause in one sentence and the next step. After you fix the problem, click Continue. When a template is no longer approved, create a new broadcast with another template.
When WhatsApp is busy for a moment, Konektor tries the contact again at the next minute. A contact that fails five times shows as Failed.
When the number of contacts grows after the preview, Konektor pauses the broadcast and the page asks you to cancel it. Cancel the broadcast, then check a new preview. This keeps the count that you confirmed.
Report
The detail page shows the report of the broadcast:
| Number | Meaning |
|---|---|
| Total contacts | The number of contacts in this broadcast, after the automatic exclusions. |
| Sent | Messages that WhatsApp accepted from Konektor. |
| Failed | Messages that WhatsApp refused or could not deliver. |
| Skipped | Contacts that got no message, for example because they opted out. |
| Delivered to phone | Messages that reached the phone of the contact. |
| Read | Messages that the contact opened. WhatsApp reports this only when the contact has read receipts on. |
| Replied | Contacts that wrote a message within 7 days after the broadcast. |
| Estimated cost | An estimate for an official number. It is not a bill. |
Open Skipped and Failed to see the contact count for each reason, for example "The contact opted out of broadcasts" or "WhatsApp limits marketing messages to this contact". The report holds counts only. It does not show phone numbers or contact names.
With the API and AI agents
You can preview, schedule, and read the report of a broadcast from an AI agent. Read Agent API v2 and advanced MCP.
Troubleshooting
| Symptom | What to do |
|---|---|
| The Broadcast menu does not show | The feature is off in your workspace, or your role is not owner or admin. Send messages one by one from the Inbox, or contact support@konektor.id. |
| The Number step is empty | Only official numbers and active Kapso or Kirimdev partner numbers show. Click Connect WhatsApp to connect a number. |
| A template does not show in the Template step | Only templates that are approved for that number show. Open Message Templates, click Refresh from WhatsApp, or create a new template. |
| "Part of the template has no picture, video, or document yet. Choose the file in the Template step." | Open the Template step, then choose a file for the empty header or card. |
| The Schedule button is off | Read the message below the button and at the top of the preview. The usual causes: no contact is left, the list is too large, or the quota for this month is too low. |
| "The preview is no longer valid" | The setup or the contact list changed. Click Check preview again. |
| The contact count is smaller than you expect | Open Skipped automatically in the preview. The usual causes are contacts that opted out, duplicate numbers, or contacts that got a broadcast recently. |
| The status is Paused and a cause shows | Follow the step in the cause, then click Continue. |
| Many messages show Failed | Open Failed in the report and read the reasons. When the reason is quality or a WhatsApp limit, send fewer broadcasts and improve the template text. |
